Sub: Planning for the proposed reunion of 1985 Batch B.Sc (Ag.) Agricultural College, Bapatla students.
Outcome: Preparation of a draft plan of reunion- for consensus building among the batch mates.
A small luncheon get-together to plan reunion of 1985 batch of Agriculture College, Bapatla was held at Manjeera guest house, Hyderabad. The meeting was attended by 1985 Batch Bapatla Campus B.Sc (Agri) batch mates whose names were mentioned below.

The members of the meeting discussed the subject at length offering a number of proposals on various points. The members also considered various operational and logistic problems faced by previous reunions held at Bapatla and Hyderabad. After threadbare discussion the meeting decided the following on consensus for the consideration of all batch mates.
1. Venue of Reunion : Agriculture College, Bapatla
Background:
Considering the centrality of Alma Mater for the reunion, it was unanimously decided to have Agril. College, Bapatla as a venue, though there was a proposal for Hyderabad.
2. Dates for reunion : 13-14, February, 2010 (Second Saturday and Sunday)
Background:
• 1½ day programme was planned considering previous reunions experience of late arrivals, early departures, inadequate interaction etc. in one day event.
• January was not considered due to Sankranti and Summer was avoided due to likely high humidity / inclement weather.
• February was chosen for (i) pleasant weather, (ii) will not clash with children’s examination and (iii) to avoid financial year ending issues.
3. Contribution per member (incl. family) : Rs. 3000/- (as a complete package covering the costs of accommodation (one suit), food, local transport, site seeing to Suryalanka, Souveneir and function arrangement cost etc.)

Responsibilities:
a) Mr. Hariprasad, Convenor of the committee will open a bank account at Hyderabad and inform the account details to the Invitation committee.
b) It shall receive contributions from the members exclusively for the purpose of reunion only and maintain transparent accounting.
c) It shall release amounts to various committee convenors for the purpose of reunion expenditure based on the request of the Organising Secretary.
d) Every committee shall maintain a record of accounts and vouchers for all kinds of expenditure and submit the same to the Treasurer with in a week of the completion of the event.
e) It shall consolidate the receipts and expenditure and the balance and inform the same to all the batch members.
f) In case any amount is left after expenditure the organizing committee may decide suitable welfare measure in Agric. College, Bapatla.
